Understanding your member analytics
What the dashboard numbers mean, which ones deserve weekly attention, and how to act on what they show.
This article is for the administrators who run an organisation's Portava portal.
Your admin dashboard reports what members actually do, such as sign-ins, bookings, reads and posts. The skill is knowing which numbers deserve attention.
The numbers that matter weekly
Three readings tell you most of the story.
Active members is how many signed in recently. It is the pulse of the portal, so watch its direction rather than its level.
Event registrations against capacity tells you whether your programme matches appetite.
Content engagement covers what is being read, saved and asked about. It tells you what members came for.
Each area of the admin, such as events, resources and the assistant's question log, breaks its own numbers down further.
Direction matters more than level
A number on its own is a fact. The same number against last month is a signal.
Falling sign-ins after a strong launch is normal settling. What matters is whether your regular rhythm of events and communications establishes a steady floor.
A sudden step down usually has a specific cause, such as a newsletter that did not go out or a quiet events month. The dashboard's job is to make you ask the question early.
Act on the edges
Averages hide the useful cases at both edges. Members with no sign-in since joining are an onboarding problem you can fix with a personal nudge this week.
Your most active members are your event ambassadors and discussion seeds, and worth knowing by name. Make a habit of a monthly look at both lists. The middle takes care of itself.
