The Approval Centre and your approval policy

One queue for member applications, member-submitted content, refund requests and reports, and the policy that decides what waits there.

This article is for the administrators who run an organisation's Portava portal.

Approvals in the sidebar is where every decision waiting on your team is gathered. The badge beside it counts what is waiting on you.

The six categories

  • Members: applications to join.
  • News, Insights and Events: content members have submitted.
  • Refunds: refund requests on event tickets.
  • Reports: content a member has reported.

Tabs show All, each category, and a History of past decisions.

Three decisions

Open an item to see its details, then choose one:

  • Approve. For content this is Approve and publish; for an application it admits the member; for a refund it moves the money.
  • Request information for applications and refunds, or Request changes for content. The item leaves the queue until the member answers or resubmits, then comes back.
  • Reject, with a reason. Reports use Dismiss report, Release and Remove content instead.

The member is notified of the decision, with your reason for anything unsuccessful. Decisions on applications and content can be undone from the notice that appears afterwards. Refunds and reports ask you to confirm first and cannot be undone. You can select several news, insight or event items and approve them together. There is no bulk reject.

Your approval policy

The Approval policy card under Portal settings, then Membership decides what waits here.

  • Applications: Anyone can join makes joiners members immediately. Review each application holds them in Approvals.
  • Payment, shown when you review: Take payment when they apply means rejecting a paid application leaves a refund owed. Take payment once approved means nobody is charged for a membership they were not given.
  • News, Insights and Events: Review before publishing or Publish immediately. Content waiting for review is kept out of the AI assistant until approved.

Who sees what

There is no separate approvals permission. Each administrator sees only the categories their access areas cover: members, news, insights and events for those queues, billing for refunds and moderation for reports. Content managers can decide news, insights, events and reports, never applications or refunds.
