Inviting colleagues to your company membership
Who can invite colleagues onto a company membership, how seats work, and how to remove someone or hand over the role.
This article is for members of an organisation that uses Portava.
In short
- Only the company's main contact can invite and remove colleagues.
- Each plan includes a set number of seats, and pending invitations count towards it.
- The main contact can hand the role to a colleague, but cannot take it back alone.
A company membership can cover several people from the same business. The person who holds it, the main contact, decides who they are.
Who can invite
Only the main contact can invite colleagues. If you were invited yourself, you cannot invite others; ask your main contact or your organisation. The Main contact card on My company shows who holds the role.
Sending an invitation
Open My company and find Your colleagues' access. Enter your colleague's work email address and choose Send invitation. They get an email with a personal link that lasts 7 days, and join under your membership when they accept. You can send up to 10 invitations a day.
If your organisation restricts email domains, the address must be on one of them.
Seats
Each plan includes a number of seats, and you count as one. The card shows how many are used, including pending invitations. When every seat is taken, withdraw a pending invitation or ask your organisation about a bigger plan.
Removing a colleague
Next to each name you can withdraw an unaccepted invitation, or remove a colleague who has joined. They lose access under your membership, their seat frees up, and you can invite them again later.
Handing over the role
From the Main contact card, choose a colleague and Hand the membership over. They then invite and remove colleagues and pay the membership, and you no longer can. If you need the role back, ask them or your organisation.
