Getting your data out of Portava
Which exports exist today, where each one lives, and what is never included.
This article is for the administrators who run an organisation's Portava portal.
In short
- Subscriptions, invoices and contacts export as CSV; a full member-list export is not built yet.
- Payment card details are never exported.
Portava holds your organisation's records, and there are several ways to take copies out. Here is what exists today.
Exports you can run
- Subscriptions: under Operations, then Billing, choose Export subscriptions. You get a CSV of every membership with the member or company, plan, price, billing interval, status, current period and renewal date.
- Invoices: on the same page, Download invoices gives you a CSV of every member invoice issued between two dates, with the payer, amount, status and a link to each PDF.
- Contacts: under Members, then Contacts, choose Export CSV for the people who are not yet members, such as event bookers and unfinished sign-ups.
- A member's own record: each member can download everything the portal holds about them from Settings, then Privacy, in their own portal.
What is not built yet
A CSV of the member register itself, filtered the way the Members page is, is not available yet, and neither is an attendee list for an event. If you need one of these, ask the Portava team from the Support page.
What is never included
Payment card details are never exported. Stripe holds those. Direct messages, member notes and saved items are not exported either.
Handling the file
An export contains personal data. Store it where your organisation keeps member records, and delete copies you no longer need.
