Creating and publishing a resource
How to create a resource, choose its type, organise it with categories and tags, attach files or video, and pass the publish checks.
This article is for the administrators who run an organisation's Portava portal.
A resource is anything in your library a member might need. It can be an article, a guide, a template, a checklist, a report, a video, a webinar recording, a download or a link to somewhere authoritative. One form handles all nine.
Write it
Go to Resources → New resource. Add a title, a one-line summary, and the content itself. Write for the member who arrives from search and needs the answer.
Use headings. Long resources get a table of contents from them.
Organise it
In the Organise section, pick the type. The type sets how the resource is presented, so a video leads with its player and a template leads with its download.
Choose a category. You can create one inline if the right one does not exist yet. Add tags using the words members would search, such as topics, industries and roles.
The Suggest tags and summary button drafts both from your content. Edit what it offers rather than accepting it as it is.
Attach what the type needs
Videos and webinars take a video URL. YouTube and Vimeo links embed as a player.
Where your portal offers it, you can upload a recording instead. The file plays for members only, inside the resource, and its transcript lets the assistant point a member to the exact moment that answers them.
Links take a destination URL, which is shown to members before they click.
Templates, checklists, reports and downloads take a file. Upload files under Resources → Files, then pick one here. You can also use an external file link if the file is hosted elsewhere.
Publish, schedule, feature
In the Publish section, set the status. Publishing runs a completeness check. It confirms a category is chosen and that the video, link or file the type needs is attached, and tells you what is missing before a member finds out.
Scheduled publishes automatically at a time you set. Review by flags the resource back to you when it is due a freshness check. Tick Featured for the few that deserve the front of the library.
Publishing also adds the resource to your portal's assistant, so members can find it by asking as well as by browsing.
