Creating an event

Setting up an event from details to tickets, publishing it, and managing registrations through to check-in on the day.

This article is for the administrators who run an organisation's Portava portal.

Events are where a portal proves its value most visibly. Creating one takes a few minutes. The checklist below is the difference between a listing and a full room.

Set up the event

Go to Events → New event in the admin area. Give it a title that says what it is, so "Autumn networking breakfast" rather than "October event". Add the date, time and venue.

Write a description that answers the member's real questions. It should say who the event is for, what they will get from it, and whether food is involved. Add a banner image, because listings with images are what people notice on the events page.

Tickets, capacity and pricing

Set capacity if the room has one. When an event fills, members can join the waiting list, and places are offered again automatically as others cancel.

For paid events, set your prices and member rates. Members see their rate applied automatically when they book, with no discount codes to distribute.

Publish and promote

Publishing puts the event on the member events page and calendar. Publishing is not promotion, though. Announce it in your next newsletter or a targeted email from Communications, and again a week before.

The registration list in the admin area shows exactly how bookings respond to each push.

On the day

The check-in view under Events gives you the registration list at the door. Mark people in as they arrive.

Afterwards, the attendance data is the honest record of what worked. Use it to shape the next event.
