Company memberships, main contacts and team seats

How a company joins on a plan, what its main contact can do, how seats are counted, and how to hand the membership to someone else.

This article is for the administrators who run an organisation's Portava portal.

A company membership covers a team. One person, the main contact, holds it: they invite and remove colleagues and they pay for it. Everyone else in the company is covered by a membership they do not control.

Plans for companies

Under Portal settings, then Membership, each plan says what it applies to: Members, Companies, or Members and companies. Plans for companies have Team seats, the number of people the membership covers including the main contact. Leave it blank for unlimited.

Inviting a company

Under Members, choose Invite, enter the main contact’s email address and pick Company membership. Choose the plan and how it will be paid, exactly as for a person. Type the company name, or leave it blank and they name their company when they accept. A named company goes to one address, because accepting is what creates the company.

When they accept, the company is created with them as its main contact and the membership belongs to the company. If a company of that name already has people or a plan, the invitation is refused and they are told to ask its main contact to add them.

Colleagues and seats

The main contact adds colleagues from My company in the member portal. Each invitation and each acceptance takes a seat, and a full plan refuses both. Colleagues cannot invite further colleagues. Renewal reminders for a company membership go to the main contact.

Handing over the main contact

When the main contact leaves, open the company under Members, then Companies, go to People and choose Make main contact beside the colleague taking over. They gain the right to invite and remove colleagues and to pay, and the outgoing contact becomes an ordinary colleague. Only an active member can take the membership on.

Companies added before this was possible may have no named main contact. Until you name one, the portal treats the longest-standing member nobody invited as the account holder.

Editing a company

Open it under Members, then Companies. Edit company changes the record, Assign plan puts it on a company plan, and people are linked to it from each member’s own record.
