Asking members questions when they join

This article is for the administrators who run an organisation's Portava portal.

In short

• Set questions under Portal settings, then Membership. Members answer during profile setup and can change their answers later.
• Read every answer to a question, with names, on the Member answers page. Only your team and the member can see them.
• Retire a question rather than delete it, and the answers are kept.

Every organisation wants to know something about its new members that a standard profile does not ask: what they need from you, what they are finding hard, which sector they trade in. You can ask them directly.

Setting the questions

Under Portal settings, then Membership, the Member questions card lists what you ask. Choose Add a question and give it:

• The question, in up to 200 characters.
• An answer type: Long answer for free text, or Multiple choice with one choice per line and at least two.
• Whether it is Required. Required questions must be answered before sign-up is finished.
• A Display order, lowest first.

Edit a question at any time. Nothing here deletes: Retire stops asking a question and keeps every answer already given, and a retired question can be asked again later.

What members see

When a new member sets up their profile, a step called A few questions from your organisation appears after the standard steps. Members can change their answers whenever they like from their profile settings in the member portal, under About you.

Reading the answers

Only your team and the member can see the answers. Open Members, then Member answers to pick a question and read every answer with the member’s name beside it. This is the place to spot the four people who said the same thing and invite them to something. Retired questions are marked but still shown. Each member’s own record under Members also lists their answers.

Answers are kept out of member-facing search. Only your admin assistant can draw on them.
